Managing Items

Item list, creation flow, detail sections, item locator, and archiving

The Items section is the heart of Beam. Here you can browse your full inventory, open item details, create new items, manage stock, and locate items physically in your warehouse.


Item list

The item list shows all items in your organization. Each row displays the item name, a thumbnail (if available), and the current total stock. Items load as you scroll, keeping even large catalogs responsive.

Stock filter pills

Use the filter pills at the top of the list to narrow down items by stock status. The default filter is In Stock.

An item is considered Low Stock when its current stock falls below the order threshold you set on the item, or when it has a stock deficit (items that are reserved for orders but not physically present).

Tap the search bar to find items by name, item ID, article code, or barcode. Results update instantly as you type. You can also scan a barcode to jump directly to the matching item.

Analytics

The analytics button opens an overview showing how much stock you have per category and subcategory. You can drill into a category to see the breakdown by subcategory. At the bottom of the analytics screen, an overview shows stock per tracking method (e.g. Unique RFID vs. Not unique).


Creating a new item

Creating an item in Beam is a guided multi-step flow. Tap the + button on the item list to start.

Step 1. Item details form

Fill in the item information. Only the item name is required; all other fields are optional. The form is grouped into sections:

  • Item name Display name shown throughout the app (required).
  • SKU Stock keeping unit.
  • Product code Used for barcode matching and ERP integration.
  • Size Physical dimensions or size class.
  • Category / Subcategory Assign the item to a category and optional subcategory (configured in Item Settings).
  • Identification: Barcode For scanning and matching.
  • Prices: Purchase price, Selling price.
  • Stock: Reorder point Minimum stock level before the item appears as Low Stock.
  • Supply chain: Supplier ID.
  • Additional information: Notes Free text visible to all users with access to the item.

The fields shown on the form can vary depending on your organization's Item Settings. Administrators can enable or hide certain fields, so you may see a different set than listed above.

Step 2. Choose a tracking mode

After filling in the details, you select how individual units of this item will be tracked. This choice determines whether Beam assigns unique identifiers (UIDs) to each physical unit.

You can change the tracking mode later via the item menu (⋯) → Change tracking mode. You can only change it when the item has no stock; if the item has stock, you must empty it first. Choose carefully at creation time.

Step 3. Add initial stock

You can add stock right after creating the item. The screen is called Change quantities, also referred to as the add-quantities screen. It shows:

  • Existing stock Stock you previously added to this item, with the total in pieces. Use + New to add another stock group (e.g. at a different location). Shown once the item has been saved with stock at least once.
  • New stock Section for what you are adding in this session.
  • New addition Card where you enter Number of pieces, using the + and − buttons. You can add attributes if needed. Multiple new additions are possible.
  • Footer Total (existing + new) and the Save button to commit the changes. For UID-tracked items, Beam generates the required EPCs when you save.

Tap Save to commit the item and all new stock. New additions become confirmed stock groups and the EPCs (if applicable) are generated.


Item detail page

Tap any item in the list to open its detail page. At the top you see the item name and the last updated date. The three-dots menu (⋯) opens the item actions: Edit item, Move item, Change tracking mode, and Delete item. The page is organized into blocks:

Image block

Shows the item photo or an Add image placeholder with a camera icon. Tap to add, view full-screen, or replace the image.

Stock block

Shows total stock and how many are sellable. Tapping this block opens the Change quantities screen to add or adjust stock.

Orders block

Shows how many units of this item are currently committed to open orders (to pick, to receive, or reserved). Tap to see the list of orders that include this item.

Locations block

Shows where this item is stored. At the top you see a summary: the number of locations and total pieces (e.g. "2 locations • 43 pieces"), or "Not yet placed anywhere" if the item has no stock at any location. Each location is listed with its path (e.g. Main Floor > Aisle Shelf 2 > A1), the quantity at that location, and a Move button to start the move flow for that stock. You can also start the move flow from the three-dots menu via Move item. Tapping a location row (without the button) takes you directly to that location so you can see that part of the stock in context (e.g. in the 3D floor plan).

Move flow screens

  1. From location Select one or more source locations with the checkboxes. Each row shows the location path and the number of pieces. Tap Next to continue.
  2. To location Search or browse to the destination. Use Search zones and spots to find a zone or single spot. Tap a zone to open its grid (rows and compartments); tap a spot (e.g. B2) to select it. The bottom bar shows the planned move (item • X piece(s) → [spot]). Tap Move to confirm.

Info block

Displays the item's metadata: Name, Item ID, Tracking mode (e.g. Amount only), and other configured fields.

Notes block

A free-text notes field for any additional information about the item. Notes are visible to all users with access to the item.


Editing an item

Open the item detail page, tap the three-dots menu (⋯), and choose Edit item to modify the item. You can update the name, description, article code, category, item size, order threshold, image, and custom fields. Tap Save when done.

Changing tracking mode

Open the item detail page, tap the three-dots menu (⋯), and choose Change tracking mode. The Choose tracking mode screen shows the same two options as when creating an item: Amount only and Random UIDs.

You can only change the tracking mode when the item has no stock. If the item has stock, the app shows: "Cannot change tracking mode with existing stock, first empty stock of item" (Kan tracking mode niet wijzigen met bestaande voorraad, leeg eerst voorraad van item). Remove or move all stock from the item before changing its tracking mode.

Deleting an item

Open the item detail page, tap the three-dots menu (⋯), and choose Delete item. A confirmation dialog appears: Item verwijderen with the message that the action cannot be undone. Choose Cancel to abort or Delete to permanently remove the item.

Deleting an item is irreversible. All data for that item (stock, history, links) is removed. Make sure you no longer need the item or have exported any required data before confirming.

Item locator

The item locator helps you physically find a specific item in your warehouse using RFID. It requires UID/RFID tracking on the item and an active RFID reader connection.

  1. Open the item detail page.
  2. Tap the Locate button (antenna icon) in the top bar.
  3. The reader starts scanning continuously. Walk slowly around your warehouse while watching the indicator.
  4. A percentage indicator (0-100%) and color feedback show how close you are move in the direction where the percentage increases.
  5. When the tag is found, the indicator reaches 100% and the screen shows 'Item found!'.

For best results, move slowly and sweep the reader from side to side. RFID radio waves can reflect off metal shelves, causing inconsistent readings approach from multiple angles if the signal seems unreliable.
