Import & Export
Beam makes it easy to move data in and out of the platform. Export your inventory data for analysis or reporting, and import data from spreadsheets to quickly populate or update your inventory.
Exporting Data
You can export data from any main table in Beam by clicking the download icon in the table header. This feature is available on desktop only.
Export Formats
- Excel (.xlsx) a spreadsheet file that can be opened in Microsoft Excel, Google Sheets, or any compatible application.
- PDF a formatted document suitable for printing or sharing as a read-only file.
Export Options
When exporting, you can choose from several export modes depending on the level of detail you need:

|---|---|
| Standard | Exports the currently visible columns and rows as they appear in the table. |
| Grouped with aggregations | Exports the data with your current grouping and aggregation settings preserved, ideal for reporting. |
| Item locations | Includes location data for each item, showing where items are stored across your warehouse. |
| Full (admin only) | Exports all available data fields including internal metadata. This option is restricted to administrators. |
Importing Data
To import data into Beam, click the upload icon in the table header. The import process works as follows:
- Click the upload icon to open the import dialog.
- Select an Excel (.xlsx) file from your device.
- A preview dialog appears showing the contents of your file. Beam automatically attempts to match your spreadsheet columns to Beam fields.
- Review the column matching and adjust any mappings that were not detected correctly.
- Confirm the import. Beam processes the file and creates or updates records based on the imported data.
Import Tips
- Match your column headers to Beam's field names for automatic mapping.
- Export your existing data first and use it as a template for the import file.
- Large imports may take some time to process be patient and do not close the browser tab during import.
- Verify a small batch of imported records after the process completes to ensure data was mapped correctly.
